Privacy policy
Association Playbook is run by Kelly Dando Consulting. We collect only what we need to run the site, sell plans and templates, and send the emails you ask for. We do not sell your information, and we do not use advertising trackers.
What we collect
- Your email address, when you sign up for the Weekly Play, take the scorecard, sign in, buy, or are invited to a board workspace.
- Your name and your association's name, if you give them, for your account, your board's workspace, and the "Licensed to" line in templates you download.
- Scorecard answers, with the role and organization size you choose. Shared results pages show scores only, never names or email addresses.
- Purchase records: your plan, its status and renewal date, and the license and refund policy versions you accepted. Card details go straight to Stripe. We never see or store your card number.
- Template downloads: which file, when, and the name and order they were licensed to.
- Your board's workspace: documents your board builds, who made and last edited each one, and your association's logo if an admin uploads one.
- Messages you send us through the contact form.
- Basic technical logs, such as IP address and browser type, kept by our hosting provider for security and to fix problems.
Why we use it
- To sign you in, give you the access you paid for, and run your board's workspace.
- To take payments, renew plans, and send receipts and invoices.
- To send the emails you asked for: sign-in links, purchase emails, scorecard results, and the Weekly Play.
- To protect our templates: the "Licensed to" line and the download record let us trace a shared copy back to its license.
- To answer your questions and keep the site secure.
Who helps us run the site
These companies process information for us, only to provide their service:
- Stripe handles payments, subscriptions, invoices, and refunds.
- Resend sends our email and manages the Weekly Play list.
- Cloudflare hosts the site and stores its data.
- Our accounting software receives payment records for bookkeeping.
We share information beyond this only if the law requires it, or to protect our rights, such as enforcing the license terms.
Cookies
We use a small number of cookies, all needed for the site to work: one keeps you signed in, one remembers a free scorecard Play you were given, and short-lived ones show notices such as "You signed in on another device." Your light or dark theme choice is saved in your own browser. We use no analytics, advertising, or tracking cookies.
Emails and your choices
- Every Weekly Play and every marketing email has an unsubscribe link. Unsubscribing does not affect your plan or your purchases.
- Sign-in links, receipts, and messages about your account are sent because you need them to use the site.
- You can ask us to show you, correct, or delete the information we hold about you. Contact us. We keep purchase and license records as long as the law and our accounting require, even after you close an account.
How long we keep it
We keep account, workspace, and purchase records while your plan is active and for as long as tax and accounting rules require afterwards. Documents your board builds belong to your association and stay with its workspace until its admin deletes them or asks us to. Weekly Play signups stay on the list until you unsubscribe.
Security
The site is served over an encrypted connection. Sign-in uses one-time email links instead of passwords, and stored sign-in tokens are scrambled. Access to the site's data is limited to the people who run it. No system is perfectly secure, and we will tell you if a problem affects your information.
Children
The site is for adults who run associations. It is not meant for children, and we do not knowingly collect their information.
Changes
If we change this policy, we will post the new version here with a new version date. If a change is significant, we will email account holders.
